El propósito de este trabajo es proporcionar apoyo secretarial y administrativo de alta calidad para el personal de la Oficina de Defensa de la UE de Oxfam Internacional (OI). Este papel está muy invocado como fuente de apoyo administrativo para mejorar la eficacia de la oficina de Bruselas. El trabajo es muy variado y requiere flexibilidad, capacidad de gestionar varias tareas al mismo tiempo, así como la disposición para asumir tareas imprevistas según se requiera.
PERFIL DEL CANDIDATO
Tener fuertes habilidades interpersonales y capacidad para trabajar bien como parte de un equipo multi-cultural. Excelentes habilidades de comunicación verbal y escrita, incluyendo habilidades de teléfono, con lo que la experiencia pertinente en materia de organización y administración (un año mínimo). Las buenas habilidades de administración del tiempo son una necesidad. Debes hablar con fluidez Inglés y francés y ser hábil con los sistemas de oficina en un ambiente computarizado (MS-Word, MS-Excel), así como software de correo electrónico y de Internet (idealmente MS FrontPage). El conocimiento del proceso y la política de toma de decisiones de la UE se considera como una ventaja, pero el perfil administrativo dará prioridad.
Se valora el conocimiento del castellano.
MAS INFORMACION
Job Purpose
The purpose of this job is to provide high quality secretarial and administrative support to staff in the Oxfam International (OI) EU Advocacy Office. This role is heavily relied upon as a source of administrative support to enhance the effectiveness of the Brussels OI office. The job is very varied and requires flexibility, capacity to manage several tasks at the same time as well as willingness to take up unexpected tasks as required.
Job Dimensions

- High skill level across range of administrative areas, no professional accreditation required
- Communicates with senior people more widely than own department, may involve external representation, liaison and some influencing
Key Responsibilities (working in close relation with the Administrator, Brussels)
Communication
- Receive correspondence (e-mail and paper) and handle/respond as appropriate, including the management of the office’s general e-mail account
- Sending out letters and reports
- Act as first point of contact for telephone communications
- Respond to queries from the general public and from affiliated organizations regarding OI
- Maintenance of OI databases and communications systems, including inputting and updating of data (with support of stagiaires)
- Manage and develop electronic and paper filing systems; update the OI intranet section on the EU Advocacy Office where relevant, including the general induction information kit for visitors.
- Every two weeks prepare the OI EU office contribution to OI Weekly news
- Take minutes of weekly staff meeting
Logistics
- Organize travel arrangements and accommodation for policy advisors when required
- Assist with arranging appointments, telephone and video conferences
- Assist in welcoming and hosting visitors, including management of the hot desk
- Assist in the arranging of meetings, including preparation of materials, logistics work and communications
- Support in organizing events, including logistics, sending and follow up of invitations
- Order and manage groceries and stationary equipment
- Organize kitchen rota
- Trouble-shoot IT problems-act as middle person between IT support service and staff having difficulties
- Be focal person for carbon reduction reports and monitoring the office carbon reduction strategy
Administrative
